How do I set up Document Sharing? (Pilot Group Only)

This guide outlines how to connect your Microsoft 365 (SharePoint/Teams) with Netwealth’s Document Sharing. This process requires two roles: an adviser administrator (typically you, the person setting up Document Sharing in Netwealth) and an IT administrator (someone with Microsoft 365 admin privileges for your organisation). You might fill both roles if you have the necessary access, or you might need to involve an IT colleague or service provider for certain steps.

This article is intended for use by Adviser Representatives only and is provided for adviser operational purposes. It is not designed for, and must not be relied on by, clients. Clients should not act on the information in this article and should contact their Adviser Representative or Netwealth at contact@netwealth.com.au for information relevant to their circumstances.

Steps Overview:

  1. Subscribe to Document Sharing in Netwealth (Wealth Exchange).
  2. Connect your Microsoft 365 Account (for SharePoint/Teams).
  3. Microsoft confirms your tenant and generates a consent link.
  4. Approve the consent link (by a Microsoft Entra ID administrator – often the IT admin).
  5. Activate adviser codes and finalise setup, including granting final permissions via Graph Explorer (IT admin).

 

Step 1: Subscribe via Wealth Exchange

Performed by Adviser Admin

  1. Log in to the Netwealth platform and navigate to Business Settings > Wealth Exchange.
  2. Find Document Sharing in the list of available services or integrations.
  3. Click Subscribe for Document Sharing.
  4. View and accept the Terms & Conditions when prompted (this is the legal agreement for using the service).
  5. Confirm your subscription to proceed.

 

Step 2 – Connect Your Microsoft Account

Performed by Adviser Admin

  1. After subscribing, you will be prompted to connect a Microsoft 365 account. Click Connect Microsoft Account (or similarly labelled button).
  2. Enter the email address that is linked to the SharePoint site your practice will use for storing shared documents. (This is usually a Microsoft account with admin access to your organisation’s SharePoint/Teams – if unsure, it might be an IT admin’s account).
  3. Click Next or Sign In.

Important: Use a Microsoft account associated with your organisation’s SharePoint/Teams environment (for example, an Office 365 work account). Using the wrong account (such as a personal Microsoft account) will cause problems later. If you’re not sure which account to use, consult [YOUR ORGANISATION’S IT ADMIN] before proceeding.

 

Performed by Adviser Admin

  1. On the Microsoft login page, enter the password for the Microsoft account you provided and sign in.
  2. If prompted, grant any basic permissions requested (this is standard to confirm your identity and tenant).
  3. Tenant confirmation: Upon successful sign-in, Microsoft will inform Netwealth of your organisation’s Microsoft tenant (your unique company M365 identifier).
  4. Consent link creation: Netwealth will automatically generate a consent URL – a unique link that encapsulates the specific permissions required for the Document Sharing integration. (You don’t need to do anything with the link yet — it will be sent to you in the next step.)

Microsoft has authenticated your account and a consent link is created for your Microsoft 365 tenant (organisation).

What is a tenant? In Microsoft 365, a tenant is essentially your organisation’s isolated environment and directory for Microsoft services (Teams, SharePoint, etc.). Netwealth needs to know your tenant so we can request the correct permissions on your organisation’s behalf.

 

Performed by IT Admin (or Adviser Admin if they have admin rights)

  1. Check your email: The consent URL generated in Step 3 is sent to the email address of the Microsoft account you connected. (It may take a couple of minutes to arrive. Check your spam/junk folder if you don’t see it.)
  2. Review the instructions: The email explains that you need to approve a Microsoft permissions request via the provided consent link.
  3. Identify the right person to approve: Only certain Microsoft Entra ID (Azure AD) admin roles can approve the consent for the whole organisation. Typically, it should be done by a Global Administrator or Application Administrator in your Microsoft 365 tenant. If that’s you, continue to the next step. If not, forward the email (including the consent link and instructions) to [YOUR ORGANISATION’S IT ADMIN] or the person who manages your Microsoft 365 accounts. Include a note asking them to review and approve the Document Sharing consent request on your behalf.
  4. Approve the consent (admin user): Click the consent link in the email. Sign in with your admin credentials if prompted. Microsoft will display a page showing the application (Netwealth Document Sharing) and the permissions it is requesting. Ensure you’re signing into the correct work account (the one for your organisation’s Microsoft 365 tenant). Then click Accept to grant the permissions.

Important: If the consent link is not approved by an appropriate admin, you won’t be able to proceed to the final activation step. Make sure the consent is granted by someone with the proper rights. If the wrong person attempts to approve, Microsoft will prevent it and show an error – simply have the correct admin try the link instead.

 

Step 5 – Activate Adviser Codes & Finalise Setup

Performed by Adviser Admin, then IT Admin

5A. Activate Adviser Codes (Adviser Admin)

  1. Return to Netwealth: Once the consent is approved, log back into Netwealth and navigate to Wealth Exchange > Document Sharing.
  2. Select adviser codes: You will see a list of your adviser codes (these represent individual adviser accounts or licenses at your practice). Tick or select the codes for the advisers who should have Document Sharing enabled. You can select one or multiple codes.
  3. Activate: Click Save to enable Document Sharing for the selected advisers.
  4. Team creation: Netwealth will now create corresponding Teams in your Microsoft 365 environment (one Team per adviser code selected) along with initial channels and connections to SharePoint for document storage. This setup may take a few minutes.

5B. Grant Teams Access (IT Admin via Graph Explorer)

  1. Check IT admin email: The designated IT admin (maybe yourself, or someone you forwarded Step 4 to) will receive another email from Netwealth. This email contains instructions to use Microsoft Graph Explorer – a tool for making administrative changes via the Microsoft Graph API – to give the Netwealth service principal (application identity) the required read/write permissions on the newly created Teams.
  2. Run Graph Explorer steps: The IT admin should follow the step-by-step instructions in the email to open Graph Explorer, sign in, paste the provided Graph API request and run it. The email includes a placeholder [INSERT GRAPH API REQUEST BODY HERE] where the exact request code will be provided. This operation grants the Netwealth service principal permission to post messages and access files in the Document Sharing Teams.
  3. Confirmation: Once the Graph Explorer step is successfully executed by the IT admin, the adviser admin will be notified (e.g., via an on-screen confirmation in Netwealth or an email) that Document Sharing is fully set up.

Document Sharing is now fully operational for the selected advisers. 

In Microsoft Teams, each chosen adviser will have a dedicated Team (or channels) for client document sharing. These Teams are linked with Netwealth so advisers can share documents through Teams, and clients can securely receive them via the Netwealth mobile app or portal.
